What examiners typically want to see
- Daily check records for recent months, with the driver, vehicle and date.
- Defect reports and the fix for each, who did it and when.
- PMI sheets at the intervals you promised, and brake test results.
- MOT or annual test history and plating details.
- Driver hours and tachograph downloads, with evidence you check them.
- Driver licence and CPC checks.
- Your operator licence and the vehicles and trailers on it.
- Policies: how defects are reported, what happens to unsafe vehicles, training given to drivers.
A simple monthly routine
- Look for missed daily checks and chase them.
- Look for open defects older than a week.
- Check PMI and MOT dates for the next 60 days.
- Check tacho download dates.
- Check any licence checks due.
Make records findable
If you can search by vehicle and date and produce a PDF in a minute, a visit is calmer. That is what Kovi's history and export are for.
General information for Great Britain, not legal advice. Rules change, so check GOV.UK and DVSA for the latest. Northern Ireland has its own rules.
