Fleet management for small fleets: where to start

You do not need an expensive system to run a tidy fleet. You need a few habits and one place to keep the records.

Updated 1 November 2026 · 2 min read

The five basics

  1. A vehicle list with reg, type, weight, and the dates that matter: MOT, tax, service, PMI.
  2. A daily check on every vehicle in use, recorded.
  3. A defect routine: report, decide, fix, record.
  4. Driver records: licence checks, CPC if needed, training.
  5. A monthly review: missed checks, open defects, dates coming up.

Keep it in one place

The more places you split records, the more things drop. Many small fleets spread the work across a notebook, a spreadsheet and a WhatsApp group. Kovi puts the vehicle list, daily checks, defects and reminders in one place.

Grow into other tools

Add tracking, tachograph analysis or maintenance software when you need them. Start with the daily check because it is the cheapest and most effective step.
