Where spreadsheets work
Keeping a list of vehicles, MOT and tax dates, and a log of faults is a good fit for a spreadsheet, especially while you are small.
Where they break
- Collecting checks. Drivers will not open a spreadsheet at 6am in a cab.
- Photos. Awkward to attach and find.
- Alerts. Nothing tells you a vehicle was not checked.
- Trust. Anyone can edit a cell afterwards.
- Time and place. Not recorded unless typed.
The middle route
Use software to collect checks and keep your fleet list in Kovi too. Dates and reminders are built in, and you can export everything if you still want a spreadsheet.
